The personal data we handle
Enquiries
If you contact us through the enquiry form on this website, or by email, we handle the details you choose to give us. That normally means your name, your email address and whatever you tell us about your organisation and the work you are considering.
Newsletter subscription
If you subscribe to our mailing list, we handle your name, your email address, any area of interest you select, and a record of the consent you gave — including when it was given.
Unsubscribe requests
If you ask to be removed from the mailing list, we handle the email address you submit so that we can identify the right subscription and record that consent has been withdrawn.
Server logs
Our hosting provider records standard technical information when a page is requested, such as an IP address, the time of the request, the page requested and browser details. These logs exist to keep the site running and secure.
What we do not do
We do not buy contact lists, and we do not add enquiry contacts to the mailing list unless they have asked to be added. We do not ask for special category data, and we ask that you do not send it through the forms on this site.
Why we handle it, and on what basis
We handle personal data for the following purposes, on the following lawful bases under the UK GDPR:
- Responding to enquiries. Our legitimate interest in answering people who contact us about our services, or taking steps at your request before entering into a contract.
- Providing services under a contract. Performance of a contract, where we are engaged to carry out work.
- Sending marketing email. Your consent. Consent is given by you and never assumed, and it can be withdrawn at any time.
- Acting on unsubscribe requests. Compliance with our legal obligations, and our legitimate interest in keeping an accurate record of who has opted out.
- Keeping the site secure and available. Our legitimate interest in protecting our systems.
Marketing consent is kept separate from correspondence about an enquiry. Declining marketing does not affect our response to an enquiry, and withdrawing marketing consent later does not delete correspondence about work we are doing or have done for you.
Who else sees it
We do not sell personal data, and we do not share it for anyone else's marketing.
We use service providers to run parts of our business — for example website hosting, email and email delivery. Where a provider handles personal data on our behalf, they act as our processor under a written contract, may only act on our instructions, and must keep the data secure.
We may also disclose personal data where we are required to do so by law, or where it is necessary to establish, exercise or defend legal claims.
Transfers outside the UK
Some of our service providers may process personal data outside the United Kingdom. Where that happens, we rely on a transfer mechanism recognised under UK data protection law, such as an adequacy decision or the approved standard contractual clauses together with the UK addendum.
You can ask us which safeguards apply to a particular transfer by emailing [email protected].
How long we keep it
We keep personal data only as long as we need it for the purpose it was collected for.
- Enquiries that do not lead to work: kept while the conversation is live and for a reasonable period afterwards, then deleted.
- Client records: kept for the duration of the engagement and afterwards for as long as we are required to keep business and tax records.
- Mailing list: kept until you withdraw consent.
- Unsubscribe records: kept as a suppression record, so that an address which has opted out is not contacted again.
- Server logs: kept for a short period by our hosting provider for security and troubleshooting.
Security
We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. This site is served over HTTPS, access to our systems is limited to people who need it, and we review that access.
No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send confidential material, passwords or payment details through the forms on this website or by unencrypted email.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- ask us to erase your data where there is no continuing reason for us to hold it;
- ask us to restrict how we use your data;
- object to processing that is based on our legitimate interests;
- ask us to transfer data you gave us to another organisation, where that right applies; and
- withdraw consent at any time, where we rely on consent.
To exercise any of these rights, email [email protected]. We may need to confirm your identity before acting. We will respond within the period required by law.
Withdrawing marketing consent is straightforward: use the unsubscribe page, the unsubscribe link in any message we send, or email us. Withdrawing consent does not affect the lawfulness of anything we did before you withdrew it.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first at [email protected] so that we can try to put it right.
You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk.
Changes to this policy
We may update this policy to reflect changes in how we work or in the law. The date at the top of the page shows when it was last updated. If a change materially affects how we handle your data, we will take reasonable steps to bring it to your attention.
